What usually goes wrong

Three things decide whether a meeting lands

Almost every corporate AV problem traces back to one of these, and all three are solvable in advance.

Can the room see it

Ambient light beats resolution every time. A bright projector in a room you cannot darken will out-perform a sharper one, and past a certain room size a large display beats both.

Can the room hear it

A presenter walking a stage needs a wireless microphone. A panel needs one each. A room with hard surfaces needs the speakers placed rather than simply switched on.

Can the people not in the room join in

Remote attendees drop off when they cannot hear the questions from the floor. A 360-degree conference camera with its own microphones covers both in one device in a small or mid-sized room; a larger room still needs separate microphones.

One thing worth checking first

Find out what the venue supplies and what it charges for. Hotels and conference centres often have a house AV provider with its own price list, and some restrict what you may bring in. It is worth asking before you plan around your own equipment.
